Clients Struggling to Join Meeting

I don't know what's going on, but every meeting is starting 10-15min late b/c people are struggling to join Zoom. I assumed being over 2 years into virtual meetings, people know how to join a call with Zoom, Teams, or Webex. These are not Ma and Pa businesses either, these are VPs of 1,000+ employee businesses. There is always a dial in number which should solve any issue, but some how some way people always screw up.


Any advice on how to idiot proof joining a meeting or is this the norm?

After decades of dealing with this, no. No there is not.

I'm also the idiot sometimes - Teams has kicked me out of my own meetings more times than I care to recall, and Google tends to send me into meetings with my personal account, which is confusing.

Even if people dial in early, the systems themselves are often wonky and kick them out. Their own IT blocks participation sometimes, and sometimes the network/internet just collapses.

I am starting to think I should have them send a link vs me, but then you run the risk of them not sending it then the meeting doesnt happen

You always want to be in charge of the meeting, IMO. You CAN ask them if they can take a Teams/Zoom/etc meeting. It's less common these days to have security blocking the meetings, but it still may happen, so you can check.

I just put the meeting link in the location of the invite, in the body of the email, and in a follow-up email

I’d recommend using Google Hangout. I have found people are using it with greater ease because you don’t need to install an app for it to run well.

I hate zoom and teams for this reasons as apps usually means :
- making sure it’s up to date - which for corporate can requires permissions they don’t have. And can’t be a problem if they don’t use it often enough to always be up to date before your meeting
- granting all the permissions to the app every single damn time

Whereas since most people use Chrome, permissions, once granted are set for life. It’s integrated with chrome perfectly, and most people have a Google account (for work or personal) so no logging problems as well
