How do you reject a client?

We have to reject clients/ businesses for various reasons such as:

Lack of bandwidth,

Lack of interest,

Conflict of interest,

Not enough growth potential,

Changed focus,

Product flaws,

Management decision,

Bad payment history,

Errors in the cost/ effort calculation etc.

But it becomes very essential at such occasions to choose the right words and keeping the clients' doors open for the future! How do you handle it?

So have you seen Old Yeller, specifically the ending?

On a more serious note, framing the start of the conversation goes a long way to reducing their feeling of rejection. i.e. If both sides agree, then we'll continue the conversation, and if it's not a fit, then we'll shake hands and part ways. <- that seeds that it might not work out. 

Then just be open, discuss why they're not a fit, suggest an alternative.

I have been in this position before. I just explained that I didn't feel we were the best fit for their requirements on this project but would happily take a look at any future projects. Even gave a recommendation of a suitable supplier. If it was only a payment issue I would still proceed but only with a proforma payment.

Be nice. Had to reject someone this week. Was two emails and a call, but they got the point. I even pointed them to fits I though we’re better for them and made the introduction for them.

Ah easy way I do it is ‘yeah, no, for sure, I’ll have to refer to my tech team and then I can send you an email with an accurate answer’ Then of course you don’t or you can say it’s not suitable.
