Is there a better way to structure this email?

So basically, I get all of my leads from marketing (something I hate, I love prospecting and collating my own leads which I still do but marketing's have to, annoyingly, take priority). However, for the campaign I have at the moment the leads just aren't up to scratch in the sense, they're irrelevant companies / irrelevant job titles / contact has left the company / contacts are overseas so it's hard to call due to time change etc. I'm currently drawing together an email to send marketing, I want it to sound appreciative for their work but also point out that the leads aren't where they are meant to be. I also want to point out that I have literally no bother in getting my own leads finding the right person / numbers etc but when it's their job I don't want them to feel as though I'm ignoring their work and doing my own, I also want their hard work to go into something more fruitful.


Here's what I have so far:

I just wanted to catch up in regards to the current campaign I'm working on and the leads that are currently assigned to me. I have a few concerns around the quality of the leads and am worried that we are potentially putting too much into things that will never come to fruition. I appreciate all the work you guys do in getting the leads together for me but I feel as though we should have a system to cross check them rather than pulling them straight from ZoomInfo into the CRM as there have been quite a few issues with the leads I have.


  1. A lot of the numbers associated with the contacts are incorrect
  2. A lot of the contacts are no longer with the business
  3. A lot of the contacts are irrelevant and have nothing to do with what we're offering them
  4. Some companies are based in Asia / Australia which is difficult for me to speak with due to the vast time difference


I think it would be good for us to sit down and speak through some ways we can improve this, so I can deliver in converting the leads given.

Exporting mass volumes of contacts from Zoominfo is very frustrating. I also have this issue.ย 

How close are you to the marketing team?ย 

I generally organise a call with them and not an email and talk in such a way that will benefit them as well.ย 

E.g. Mention that you called/emailed those leads but they didn't fit the criteria and joke about it and then suggest 'ideas' (which are the truth) to them to help both departments work together?ย 

I had to often ask marketing to check the leads they are bringing in as well as check the companies prior to even contacting, now they are really slick at checking criteria before passing it over. We don't get many but it's definitely a positive.ย

For all you mail mergers out there, do you see more success emailing one DM or all DMs on a custom thread? I've noticed that putting all relevant DMs on one campaign that is 100% customized to their business has a much higher response rate (28% meeting sucess)
