Track closed won opportunities

hey all - I'm curious how you keep track of your closed won opps.

especially for my fellow salesforce users, do you use the build/export report functionality there? why or why not?

How do you track your closed won opportunities?

I use SF to track my closed-won for company admin purposes but then also use:

1. Trello to track my deals outside of SF. This way I still have access to relevant contacts, details about the deal, etc. if my SF access ever gets turned off

2. Bravado Profile: add new logos to my profile so I remember who I sold to and get my Champion + others I worked with on the deal to leave a recommendation

For #1 obviously this can also be done in a Spreadsheet but I like putting in notes and just easier/cleaner in Trello (i.e. Sam was my champion, has 2 daughters aged 4 and 6, loves vintage cars and craft beer)

Sam sounds like the man, probably loves the shooting range too since he's got two daughters

I've been using the same spreadsheet for most of my career. New tab = new role. Really helps with the resume when you need to update it.Β

for those of you who don't export salesforce reports, is it bc you cannot or you don't see the need to?Β

For most of them, I'd imagine its because their SFDC admin has data exports locked down (I know I do in my SFDC ecosystem)Β

I'm curious why you would want/need to export the reports. Is it just for keeping track personally, or does your company need you to export it to put it into some other kind of format?

I had to create my own spreadsheets and trackers. It was a pain in the butt at first. I was glad that I had created it though, saved me a few commissions as a BDR.

Excellent point. Also be verifying your commission amounts.

Great point!Β  Always smart to track your sales independently.Β  Β 1. To make sure you're getting what's owed and 2. I like to be able to know what to expect from my next commission check should be.Β

I use Hubspot to track everything.Β  It's a great platform.Β  Β Easy to use, great functions, not a bunch of unnecessary noise like some other CRMs *cough* SalesforceΒ

I just have my SF closed won opportunities report that I keep bookmarked. Have a few created that I keep on a 2021 dashboard as well for CQ, YTD, etc.Β

If you can get away with pulling reports from your SF or Hubspot that will be the best way. Most companies won't give you that access so I always recommend the spreadsheet.

For me, it helps with tracking pipeline coverage. Plus if you ever have to leave you already have it with you.

Tracking them in Tableau is so easy. Gives me a breakdown by opportunity size and stage. Also give me the link so easy to open up and adjust the opp accordingly

My company uses SugarCRM.Β  It has a sales console that shows open opps or I can change it to closed opps.Β  So easy.Β  It is my lifesaver when you get the Monday morning panic email from your sales manager at the beginning of the month "SEND ME YOUR BLW BY THE END OF TODAY!"

I had our Sales Opps build me a Power BI dashboard that plugs into my SFDC. I can see my pipe and closed opps from there - best thing sales opps ever did for me.Β

I use my SF report to track it. Also, have a separate spreadsheet on my G drive.

@nzhuΒ what are you trying to achieve with the export/data? any crm tool (i used Copper) can tell you your closed won. Is it more for reference or use it for comm. calcs?

I use the CRM tool SF and track closed won internally. I actually track the entire sales cycle through dashboards on sf from prospecting to closed... hopefully won.

I keep track in SFDC but also outside of SFDC because you never know

Most Salesforce instances won't allow you to export data, it's a best practice, so track on your own spreadsheets for sure but if you can export reports that's an easy way. You should be tracking your own commission independently too. I would even suggest creating and maintaining an independent Rolodex outside of your companies CRM but maybe I'm just a little paranoid/cautious.Β

Keep a quick excel sheet for logo, price, contact and partner if i used one. Really more for keeping an updated resume then anything else. Use salesforce to make sure im getting paid correctly since ops is... ops.Β

I used to not think this was important but when you start interviewing elsewhere it blows people away that you track this and why you won what you learned. Also track your closed losts and what you learned thereΒ

I like to keep a running list on both SFDC and an opportunity sheet. The opportunity sheet is color coded (white, yellow, green, red) to gauge how the opp is trending and helps me with forecasting for the QΒ
