Iโ€™m usually very direct and coach my team the same way. A big pet peeve of mine is when reps say โ€œIโ€™m just following upโ€. Thatโ€™s basically another way of saying โ€œIโ€™m doing nothing.โ€ Your goal is to elicit a response, so be direct. Depends on the situation, but if youโ€™re following up on a first meeting, hopefully you set expectations. Then you never have to just follow up, but you can specifically mention action items. โ€œWhat are your thoughts on XYZ from our discussion last week? Iโ€™m available at XYZ time this afternoon if youโ€™d like to discuss by phone. Talk soon.โ€

For sure. Cut out โ€œjustโ€. Cut out โ€œchecking inโ€. I also donโ€™t start my emails with โ€œhope youโ€™re having a good week.โ€ If I want to add something cordial, I do it at the end of the email. Let them read why Iโ€™m reaching out first and then wish them well at the end. Donโ€™t lead with โ€œhappy Friday XYZ - hope youโ€™re having a great week.โ€ Let them read the nice note after they care enough to read why youโ€™re reaching out.

Also worth noting that the time you spend trying to reignite a disengaged prospect can sometimes be better spent elsewhere with prospects that are more open to your offering and value your time.
