Email Invites (Advice Needed)

Currently, I work for a small start up and recently we have had a lot of canceled meetings. When we schedule a new business meeting we send out an automated email. This email is very clunky and asks for 3 documents which are not that easy to get and takes them some time to do.


I pitched to partners today that we need a new email template because ours is outdated, they agreed with me and now I'm in charge of designing a new one.


My first thought was of ditching asking them for anything because they already took the meeting and instead of asking them to fill out a short survey. This way if they reply to the email we can receive more data on their pain points and we would also have a better idea if they are going to show up or not.


Has anyone else seen success with this or have any other ideas that would help?

Asking for anything is turn off and I could see why a new biz prospect would ditch a meeting if being asked to provide 3 docs prior to the meeting.ย 

Run an A/B test for 30 days and see if not asking for 3 documents increases attendance. You won't know until you try.ย 

I reached out to a tech vendor for a sales automation tool recently, I filled a form out on their site, said I wanted a demo. I let them know I used their competitor and what times I was avliable for a demo. In return I get an email asking me a ton of questions before he would set up a demo. It left me feeling annoyed. I get that he was trying to qualify me etc.. but I clearly am buyer, I am using his competitions product, he could have set up the call and used the time with me ask me the questions he was asking in email.ย 

You want to make it as EASY as possible for a prospect to get on the phone with you.ย

Use a quiz instead of a survey. Meaning ask them some questions about their business and give them some kind of benchmark on where they stand. That way, it's at least worth their while.

Don't ask for anything in the email. Set expectations during discovery and ask for said docs then. You have to show that your solution is worth their time to learn about, show value. Then make your requests.

We do a survey thatโ€™s framed as fact finding so We can gear the meeting towards what is most impactful for them. Itโ€™s been helpful in weeding out no shows!

Try to make it as frictionless as possible. Asking to much guarantees a lower turn up rate.ย
