Calendar Management

How do I (as an AE) set up my calendar so that my prospects can book time with me at any time during the day from 8am til 5pm and still schedule blocks of time for cold calling, strategic account plans, prospecting, admin, forecasting etc?


I want my calendar to be structured yet allow prospects to book over any 'event' I've created.


We use Google Calendar and Hubspot.

+1 on Calendly and I would also throw Chili Piper into the mix... not only will these two products allow you to share custom availability however you'd like, but you can also prompt some questions to pop up when someone is scheduling OR if you need to share availability for you + an SE or an SDR for example, you can setup a custom link for this as well.

You can set up blocks of availability in the HubSpot meetings tool that will protect your time-blocking.

Calendly, but you need to set your other scheudled blocks as “available or free”. That way the platform shows your prospect mroe availability than what you may actually have. Just be sure to reschedule the other stuff when theg overlap. I even over schudle tasks so i have a little time inbetween

I only use Outlook to send meeting invites that I give two options to choose from. 🤷‍♀️

I also use Google Calendar+Hub. 

Personally I have separate links for different occasions. 

Discovery, demo, solutions(w/SE), partners link, etc. 

Each have slightly different availability on my end and length of meetings. 

I don't put any buffer between calls - so lots of back-to-backs.

I usually get in around 7:30am to clean up inbox, knock out hi priority tasks, and get prepped for the day. 

Then I block off 4pm-EOD to send meeting follow ups, do some tasks/emails, etc. 

This is also a gaurunteed opening to add a last minute meeting when needed. - occasionally ends up a chance to have a beer or 3 in the office and head out early.

Calendly is good but if you don’t pay for it you can only use the 30 minute option or hour option. Outreach has a tool as well with their platform. Hubspot has a tool as well with their products.

Literally any and all calendars allow you to do this. Just set your blocks to available or free so that they can be booked over if need be.
