How to confirm Linkedin webinar attendees

Hey so I have never hosted a webinar before, but my manager wants to do one and has a bunch of people who have already RSVP'ed.

He has done this once before, and all the people he invited no-showed. (Not super surprising because he didn't send reminders or create a GCal event or anything.)

I feel dumb for asking but having no experience with webinars, would you suggest sending a reminder via Linkedin message the day before? Creating a gcal event? If we do the gcal route, I'd be using email addresses I found off our prospecting tool which might be weird as we collected no info with the RSVP. help :(

damn not collecting info off of the RSVP sounds like a major mistake!

since you have no data i would do ALL the things.
- gcal invite with emails you found
- linked in messages,
- calling them from numbers you found
- emailing a reminder as well.

anything you can do to make sure they all know what to do and when it is.

This sounds like a car wreck that you are left to figure out how to fix...not great.

If you have RSVPs, and you have LinkedIn Sales Nav, why not send them all a message with confirmation details?

Going forward, do you have a marketing team to run these initiatives? If not, may want to invest in a contractor OR some software to set up and run webinars.

How are people learning about the webinar?

You need some sort of lead capture at the bare minimum. I think clickmeeting.com has a free trial you could use?

Thanks so much everyone who commented so far! Sent them all gcal invites and going to send reminders via email / linkedin msg and hope for the best. apparently my manager thought "everyone you're connected with on Linkedin has your email address." lmao. that's small startups for ya

I don’t think emailing / sending GCals would be an issue even if you’ve not “captured” their emails.

We live in a busy world. Almost nobody would remember a LinkedIn event they RSVP’ed to if it doesn’t go directly on their calendar.

Relying on LinkedIn’s reminder notification is definitely not a good strategy, which means the steps you’ve taken now is.

I don't need a push notification about a newsletter or article...

kind of not really? I was brought on as founding AE but there is no marketing peeps so a lot of it just falls on me

All of them no-showed? Yipes.

So reminders will be key, and also making sure that you're connecting about why they should come. There has to be something very interesting in order for them to give up a part of their day. Who's leading the webinar?

I hate everything about this. Webinars are a marketing function. But since there is no marketing department sales has to do this? You do the webinar? Follow up and confirm every way possible. I hope you get every last lead if you’re doing the show and tell.

No emails? Amateur hour.

There are services which will help you host, send reminders, etc. If your boss isn’t willing to invest in something like that, it’s not worth doing the event.

I guess your manager should've given you a heads up about how to run a webinar before assigning that task to you.

You already explained what was supposed to happen to maintain the highest attendance rate, reminders had to be sent at least a one day prior via text or even Sales Nav if available, those made mistakes I guess for sure will let you have a way successful webinar next time I believe, good luck!

I’m not a LI expert but what I have seen is to have people register with name and email for the meeting so you can send reminders and so they can to their calendar.

For all you mail mergers out there, do you see more success emailing one DM or all DMs on a custom thread? I've noticed that putting all relevant DMs on one campaign that is 100% customized to their business has a much higher response rate (28% meeting sucess)
